Action Icons (Delivered Returns Report)

The purpose of all of the action item buttons in the Delivered Returns report, what they are used for, when to use them, and how are outlined below.

Set Access 

You can restrict access on any return to the users of your choice. The default is firm-wide visibility for all returns.

  • Check the box to the left of the Taxpayer's Name.
  • Click Set Access above.
  • Move Users from the box on the left to the box on the right to grant those users access to this return.
  • Move users from the box on the right to the box on the left to restrict access to this return.
  • Click Save to confirm any changes.

Change Status

You can change the status of a return by using the Change Status button. You change any of the statuses except Signed, Uploaded and Signed, and E-Signed.

  • Check the box to the left of the Taxpayer's Name.
  • Click Change Status above.
  • Select the dropdown to change the status. The following scenarios can occur: 
    • Awaiting E-Sign to Manually Signed
    • Manually Signed to Awaiting E-Sign, Awaiting Upload, or Uploaded
    • Awaiting Upload to Manually Signed
      • NOTE: If a Taxpayer clicks Manual Sign by accident during the Taxpayer Experience, Users can change the status back to Awaiting E-Sign without the need to recall the return. To do this the User will need to change the status from Awaiting Upload to Manually Signed and Save. Then again, click the Change Status button and change from Manually Signed to Awaiting E-Sign, and click Save. When the Taxpayer opens their return again, they will be presented with the option to E-Sign the return. 
      • NOTE: If a Taxpayer fails KBA, changing the status isn't allowed.
  • Click Save to update the Status.mceclip0.png
Change Location

You can change the value of the custom column for reporting and tracking.

  • Check the box to the left of the Taxpayer's Name.
  • Click Change <Column Name> above. In this example, the column name is Location
  • Select the drop-down list to choose from all currently added values. 
  • Click Save to update the column value.

Send Reminder

You can manually send a reminder to the Client so that they can sign their e-file form(s). This option is only available for returns that have not been signed. 

  • Check the box to the left of the Taxpayer's Name.
  • Click Send Reminder above.
  • Click Yes to confirm you want to send the reminder (this only appears if automated reminders are enabled).

Archive

You can move completed returns to help keep your Delivered Returns report more organized (recommended). 

  • Check the box to the left of the Taxpayer's Name.
  • Click Archive above.
  • Click Confirm to move the return to the Archive Returns section.

You can restore a document from the Archive Returns section if necessary. 

  • Navigate to the Archived Returns section under Reports in the left panel. 
  • Check the box to the left of the Taxpayer's Name.
  • Click Restore above.
  • There is a confirmation box that the documents have been restored back to the Delivered Returns section.

Download e-file Forms

You can download completed e-file forms. You are not able to download the forms if the return has not been e-signed or uploaded. 

  • Check the box to the left of the Taxpayer's Name.
  • Click Download e-file Forms above.
  • This downloads the selected returns into a zip file.

  • Click the Downloaded status in the Downloaded column in the Delivered Returns report to see who in your firm downloaded the form and when.

Delete & Restore

You can delete returns, which places them into the Recycle Bin, where they can either be restored or permanently deleted. Permanent deletion is not recommended. 

Delete

  • Check the box to the left of the Taxpayer's Name.
  • Click the Delete button above.
  • Click Confirm to delete the return(s).

Restore

  • Navigate to the Recycle Bin under Tax Returns in the left panel.
  • Check the box to the left of the Taxpayer's Name.
  • Click the Restore button above.
  • Click Confirm to restore the return(s).
  • The return is moved back to the Delivered Returns section.  recycle_bin.jpg
Automated Reminders

You can adjust the automated signing and voucher reminders for returns as needed. You can also adjust this setting in the Action menu for a specific return. 

  • Check the box to the left of the Taxpayer's Name.
  • Click the Automated Reminders button above.
  • Select the Send Voucher Reminder before drop-down to choose how many days before the due date the reminder will be delivered. 
  • Select the Send Signing Reminder before drop-down to choose how many days after the initial delivery or most recent reminder email the next reminder will be delivered. 
  • Click the toggle to the right of the Voucher or Signing reminder drop-down to turn reminders on or off. 
  • Click Next to review how the reminder settings are applied. 
  • Click Yes to apply any changes made.

Upload

 You can upload returns for processing from the Delivered Returns section.

  • Click the button in the top right corner that corresponds to your tax software. 
  • Upload and process the return as you normally would.

Refresh 

This button refreshes the page, in case you made any adjustments and it hasn't been reflected in real-time.

Column Options

The column display can be edited to suit your needs. 

  • Click the Colum Options button.
  • Click the toggle to turn a column on or off (display or do not display column). 
  • The Client ID column cannot be disabled. 
  • Drag and drop the columns to reorder them. Thi also reorders them on your delivered returns dashboard.

Filter Options 

You can apply, save, and clear filters. The filters are searches that can be saved for quick access. 

NOTE: The tax year filter is automatically be applied to show the most recent tax year returns.

A. Apply the most recent filter that was used. 

  • Click the drop-down option next to the filter funnel.
  • Click the Apply recent fIlter button to remove all filters. 

B. Save a currently applied filter. 

  • Use the column headers to filter the displayed reports in the Delivered Returns section. 
  • Click the drop-down option next to the filter funnel.
  • Click Save current filter.
  • Enter a filter name. 
  • Click Save to add the filter to your saved filters list. 

C. Clear any applied filters. 

  • Click the drop-down option next to the filter funnel.
  • Click the Clear FIlter button to remove all filters including the tax year filter. 

D. Saved Filters. 

  • Click the drop-down option next to the filter funnel.
  • Click one of your saved filters to:
    • Apply it to the Delivered Returns section. 
    • Set it as a default for whenever you visit the Delivered Returns section. 
    • Delete the saved filter. 
Export to Excel 

You can export the entire Delivered Returns Report as an Excel spreadsheet.

  • Click the Export to Excel button. 
  • An Excel file showing all of the displayed rows/columns is created and downloaded.

Action Menu

You can perform several actions unique to a specific return by using the Action menu on the right-hand side of the Delivered Returns section.

A. Upload Forms (only available for returns in a Manually Signed status).

This option allows you to upload signed documents that were received outside of SafeSend Returns. 

  • Click Upload Forms from the action menu. 
  • Drag and Drop or Click to upload.
  • Select a file o upload. 
  • Click Submit
  • The status of the return changes to Uploaded

B. Download e-file forms

  • Click Download e-file forms from the action menu. 
  • Click Download to download an individual PDF. 
  • Click Download All to download a .ZIP file containing all signed documents.

C. Resend Acess Link (only available for signed returns). 

This option allows you to send the access link to the taxpayer again, or copy their access link. 

  • Click Resend Access Link from the action menu. 
  • Click the arrow icon to resend the access link to the taxpayer.
  • Click the paper icon to copy the live access link.

D. Client View 

This option allows you to see a preview of what the client also sees. If enabled, you can also Distribute K-1s from the Client View.

  • Click Client View from the action menu. 
  • This opens a new tab showing the taxpayer's view. 
    • Pop-ups must be enabled for the new tab to open. 
  • Click through the return as the taxpayer to see what steps have been completed. 

E. Recall Return

This option allows you to move a return back to the All Assignments section so the return can be re-processed or re-uploaded. 

  • Click Recall Return from the action menu. 
  • Click Confirm to move the return to the All Assignments section.

F. Reminder

This option allows you to edit the automated reminder settings for a specific return.

  • Click Reminder
  • Select the Send Voucher Reminder before drop-down to choose how many days before the due date the reminder will be delivered.

G. View Access Code

This option allows you to view or generate an access code for the taxpayer. 

  • Click View Access Code from the action menu. 
  • Click Generate Access Code to generate a new code that appears in the Access Code column. 

NOTE: The code is not automatically sent to the taxpayer, it needs to be provided by the user via email or phone.

H. Retention Policy

If your company settings allow, you can alter the retention period for a specific return. 

  • Click Retention Policy from the action menu. 
  • Click Attest Client to mark the return as an attest return.
  • Select the years and month drop-downs to select a retention period. 
  • Click Save to apply any changes.

I. Report a Problem

This option allows you to send a report from a specific return to our Support team.

  • Click Report a Problem from the action menu. 
  • Enter a Description of the issue. The more details, the better. 
  • Click Submit to send the report to our Support team.

J. Client Tracking

This option allows you to see the actions taken by the firm and taxpayer.

  • Click Client Tracking from the action menu.
  • See the Client Tracking Events article for more information about the listed Events.

K. Download Returns

This option allows you to download the tax return and all other associated documents.

  • Click Download Returns from the action menu.
  • Click the file name to download a single PDF. 
  • Click Download All to download all of the tax documents into a .ZIP file.

L. Delete Return 

This option allows you to move the return from the Delivered Returns section to the Recycle Bin section.

  • Click Download Returns from the action menu.
  • Click Confirm to delete.

To restore a return: 

  • Navigate to the Recycle Bin under Reports in the left panel.
  • Check the box to the left of the Taxpayer's Name.
  • Click the Restore button above.
  • Click Confirm to restore the return(s).
  • The return is moved back to the Delivered Returns section. recycle_bin.jpg
